Visitor arrival is a process shared by reception, security, and the person being visited. A paper sign-in sheet can leave staff chasing a host, rewriting information, or guessing whether a guest has left. A visitor management system gives that process a defined sequence.

Connect identity to an appropriate level of access.

Where supported, a visitor approval can connect to a time-limited credential or an access-control workflow. Agree the doors, escort rules, and expiration first. A printed badge identifies a visitor; it does not by itself grant permission to enter every part of the building.

Keep the record useful and proportionate.

Decide which fields to collect, who can view them, and when records should be removed. If screening is part of the selected solution, document how staff handle a possible match and who makes the decision. Check-in records also depend on people following the departure process; they are not a guarantee of everyone’s current location.
