Cloud, on-premises, or hybrid video: what should drive the decision?

First, define what “cloud” means in the proposal

Cloud-managed video does not always mean every recording is stored in the cloud. Some systems record locally while using cloud services for administration and remote access; others offer cloud storage or optional backup. Ask where video is recorded, how it is accessed, and what happens when connectivity is interrupted.

Know your retention and investigation needs

Camera count, image quality, frame rate, activity, and retention affect storage requirements. Think about how long incidents may take to be reported and how authorized staff review and export footage. Confirm your organizational policy before treating a default retention setting as the design requirement.

Evaluate the connection at each site

Review available bandwidth, reliability, network policies, and remote-access requirements with IT. A distributed organization may have very different conditions at each building. Ask the vendor to describe normal traffic and the behavior of recording, viewing, and management during an outage.

Compare administration as well as recording

Who adds users, removes access, applies updates, checks system health, and manages recordings? A platform that suits one experienced operator may not suit a dispersed management team. Review permissions and actual workflows with the people who will use the system.

Understand the recurring commitments

Ask for a clear list of hardware, licenses, subscriptions, storage charges, support, and renewal assumptions. Confirm what functions change if a subscription expires and how you retrieve recordings or migrate if your requirements change. Evaluate costs over a period appropriate for your organization.

Make the choice against your requirements

On-site, cloud-managed, and hybrid designs can each be appropriate. A proposal should explain how the selected approach addresses your retention, administration, connectivity, and ownership requirements. Compare specific configurations rather than broad labels.
